Online Course Proctoring Policy
Purpose
To ensure students enrolled at the College have access to secure and quality remote and in-person proctoring services.
Definitions
Student/Examinee
The individual taking the exam.
Staff/Proctor
The individual identified to initiate and supervise the student/examinee during the exam.
Faculty/Examiner
The individual providing the examination information/perimeters and to whom the exam result will be returned.
In-person Proctoring
Student/examinee is supervised in-person by staff/proctor on-campus or at an alternate approved site location agreed upon by the faculty/examiner and student.
Remote Proctoring
A method of supervising online exams virtually using software to monitor behaviors that may indicate academic misconduct.
Off-Site Proctoring
A method of supervising online exams at an approved third-party location (e.g., accredited testing center, public library, military base, or other college/university) where a designated proctor ensures academic integrity according to instructor guidelines.
Policy
Proctoring services are available at no cost to Minnesota State Community and Technical College students enrolled in credit-bearing courses. Proctoring is offered by the College in-person or virtually using remote proctoring software. The College does not provide proctoring services to individuals who are not enrolled at the College, including community members or students from other institutions.
If a student and/or faculty member chooses to utilize approved remote proctoring services at an alternate location, a fee may apply.
The College will only proctor exams during regular business hours and when the identified site proctor, or designee, is available. The College will make reasonable efforts to meet all necessary proctoring needs. If the proctoring request exceeds staff/proctor availability or facility capabilities, the student/examinee will be directed to alternate proctoring options.
Students with accommodations approved by the Accessibility Resources Office must follow testing accommodations for proctored exams.
Responsibilities
College
- Identify a site proctor for each campus and ensure in-person and remote proctoring options are available for students enrolled at the College.
Student/Examinee
- Schedule proctored exam.
- Provide required personal and exam information.
- Notify proctoring services as soon as possible if an exam needs to be rescheduled.
Faculty/Examiner
- Provide contact information to ensure quick access to answers should problems arise during the exam.
- Provide optional information to assist with effective administration of the exam (e.g. dates and times not available, alternative directions/directives for the exam if there is a conflict of dates and times or the faculty/examiner is unable to be reached).
- Provide written requirements of test administration, such as, but not limited to, time limit, exam allowances (e.g. books, notes, calculator, other electronic devices) and instructions on how, where, and to whom the completed test should be sent to.
- If using physical exam materials, the faculty/examiner will send materials to proctoring services where the proctor is located and exam arrangements were made.
- Communicate make-up exams or cancellations to the proctor.
- Confirm receipt of the exam with the proctor.
Staff/Proctor
- Verify the student’s identity by reviewing photo identification.
- Follow exam requirements established by the faculty/examiner.
- Initiate and start the exam.
- Monitor student during the exam.
- If necessary, return completed test to the faculty/examiner.
