Project Purpose

Project Purpose

With declining state allocation, M State must effectively manage enrollment including efficient processes for new student enrollment and retaining existing students. Efforts in FY25 include:

  • The case management advising model was designed and initial implementation was completed. The project had many purposes including addressing the diverse needs of students, aligning support structures with student need, addressing progress disparities, and enhancing student support systems.
  • Slate went live as the college’s CRM. Slate is a software system that was built for higher education that is more cost-effective and has more stable pricing than other products.

This project has two primary purposes:

  • Develop reports in Slate to determine: (a) fidelity of case management implementation, (b) direct and indirect evidence of the effectiveness of the model and the stated purposes in the FY25 project charter: Advising Case-Management Model, and (c) student progress, assisting staff with management of caseload.
  • Re-envision the college’s Early Alert System (EAS) to enhance student management in Slate. EAS are well documented in literature as a promising practice for improving retention, including one analysis that highlights the importance for early alert with part-time students ("Linking early alert systems and student retention: a survival analysis approach")
Deliverables

Deliverables

Slate reports:

  • Metrics for tracking student progress, including replacement of several queries from reports.minnesota.edu.
  • Metrics to help advisors, enrollment managers, navigators and other personnel manage their caseloads. Likely outcomes include earlier registration, increase in full-year registration, ability to measure success of outreach activities, increase in retention.
  • Metrics for tracking effectiveness of the case management advising model and establish a baseline to help managers effectively track activity and progress towards M State goals.
  • Increase measurable activities in Slate.

Early Alert System application integration with Slate:

  • Review the current process for early alert and improve the process considering the case management model, prioritizing the use and adoption of the process.
  • Develop and document Early Alert System within Slate, either replacing the standalone application or integrating data across processes and systems.
  • Develop associated reports to monitor the effectiveness of the early alert process.
